TCOE Online Mileage Form

The online mileage form is used to track the mileage of each county car for internal and external billing.  For each trip, employees should use their phone to access the form and fill out each of the required fields (it should take no more than 1-5 minutes depending on the complexity of the trip).  Below is a short video which explains how to access and use the form as well as a FAQ.

The TCOE Online Mileage form is accessed either by using the direct link (https://coho.tcoek12.org/Forms/mileagetracker) or by scanning the QR code on the keychain, reminder cards, or laminated printout in the cars.  You do not need a special login to access the form.

If you forget to use the form you must email the Business Services Administrator (Nonny) ndavid@tcoek12.biz with the details of the trip (date, destination, and purpose of the trip)
 
Mileage is extremely important to track as it is reimbursed both directly and is part of many important indirect calculations which support our programs.  Accurate accounting of mileage is what allows our office to maintain and provide vehicles.  

If you have questions about which department code best matches your trip, please see your supervisor.  Department supervisors are responsible for establishing program codes in conjunction with the TCOE CBO.

There are several steps you must complete before checking out a county car and using the TCOE online mileage form
  1. Complete the driver authorization with our HR department
  2. Review the TCOE car policies in the employee handbook
  3. Consult with your department supervisor about department specific policies regarding TCOE cars

If you experience trouble loading the form on your phone, please see the TCOE IT department by mailing helpdesk@tcoek12.org.  The IT department can assist with the technical aspects of getting the online mileage form to load on your phone
